This Privacy Policy explains how Iron Rockets MC ("we", "us") collects, uses and shares information about our members and about visitors to this site.
We decide what information the site collects and why. The site runs on fellos, a membership platform operated by maClara, LLC ("fellos"). fellos hosts the site and processes our members' information on our behalf and on our instructions. In data protection terms, we are the "controller" of that information and fellos is our "processor". fellos's Privacy Notice describes its part.
1. Information we collect
Information you or we add to the site
- Your profile: your name and email address, and other details we ask for or you add, such as your phone number, home address, photo and any profile fields we set up.
- Your membership record: your member type, membership dates, the positions you hold, the history of changes to them, and requests about your membership, such as a transfer.
- What you post and send: group posts, comments and reactions, direct messages, and documents you upload.
- Events, dues and store orders: your RSVPs, tickets and check-ins, your dues and payments, and your orders.
- Elections: nominations, and the ballots you cast in elections held on the site. The site shows how you voted only to you.
- Your settings: your notification preferences and other choices you make on the site.
Information collected automatically
- Sign-in and security: when you sign in, the site records the session, with your browser's user agent, your IP address and an approximate location worked out from it. It also records when you last signed in and were last active.
- Admin actions: an audit log records admin actions on the site: who acted, what changed, and the IP address.
- Cookie choices: when you make a choice on the site's cookie banner, the site keeps a record of it.
2. How we use it
We use your information to:
- run the organization and keep its membership records;
- run this site and your account;
- let members find and contact one another, as the site's settings allow;
- send you emails and notifications about the organization and your account;
- organize events, and take payments for dues, tickets and store orders;
- keep the site secure and prevent misuse; and
- meet our legal obligations.
We do not sell your information.
3. Who can see it, and who we share it with
- Within the organization: our site admins, and officers whose roles give them access, can see members' records. Other members can see your profile and what you post, as the site's settings and group permissions allow.
- fellos, which hosts this site and processes its data for us. fellos uses service providers to run the site, for example to store data and send email. They are listed on fellos's list of subprocessors.
- Search and AI features: features such as group search, Ask AI and summaries are provided through a service provider fellos contracts with. To make them work, group posts and comments are sent to that provider with their authors' names. Under its contract with fellos, the provider keeps none of this content and does not train on it.
- Stripe, for payments: when you pay dues, buy a ticket or order from our store, the payment goes through our own Stripe account. Stripe receives your email address. For store orders it also receives your name and, if your profile has them, your phone number and address. Card details go to Stripe and never reach this site.
- Google Wallet and push notifications, if you use them: adding a ticket to Google Wallet sends the ticket's details, including your name, to Google, and push notifications are delivered through your browser's push service.
- Sign-in providers: if you sign in with Google, GitHub or Apple, that provider tells the site who you are.
- fellos support: if you open a support ticket on this site or use its "fellos AI" support chat, your request goes to fellos, which handles it as its own data, under its Privacy Notice. Our site admins can also read support tickets opened on this site.
- When the law requires it: we may disclose information when the law requires it, or to protect rights, property or safety.
4. Where it is stored
The site's data is stored in the United States, with Amazon Web Services. If you live outside the United States, your information is transferred to and stored in the United States.
5. How long we keep it
- We keep member records, posts, messages, documents, election records and the audit log for as long as this site exists. Direct messages are kept even after they are deleted.
- Some records are removed sooner, for example sign-in session records and old notifications and feed items.
- If your membership ends, we may deactivate your account. Deactivation is not deletion: your profile and history stay in our records. To ask us to remove your information, contact us.
- If this site closes, fellos deletes its data on the schedule in its agreement with us.
6. Security
fellos, which hosts this site, protects it with measures that include:
- serving the site over HTTPS only;
- storing passwords only in scrambled form (as bcrypt hashes), so they can't be read back;
- keeping the passwords and keys fellos uses to connect to other services encrypted; and
- sending card details to Stripe, so they never reach this site.
We can also require site admins, or all members, to set up a passkey.
No system is perfectly secure, and we cannot guarantee the security of your information. If fellos becomes aware of a breach affecting this site's data, it tells our site admins without undue delay, and within 72 hours of becoming aware of it. We will tell you where the law requires us to.
7. Your rights
Depending on where you live, you may have the right to:
- access your information, or get a copy of it;
- receive it in a portable format;
- correct it;
- have it deleted;
- object to or restrict how we use it;
- withdraw consent you have given; and
- complain to your data protection authority.
You can view and correct much of your profile yourself. To use any of these rights, contact us. We handle these requests, and fellos helps us respond. If you write to fellos about your member information, it will pass your request to us.
8. Cookies
The site uses cookies and similar technologies, such as local storage. Only the Strictly necessary category is always on: it keeps the site working, for example by keeping you signed in. Optional cookies are set only as the site's cookie banner allows. You can see the categories and change your choice at any time on our Cookies page.
9. Children
Site administrators must be at least 18 years old. If we add members under 18, for example in a youth auxiliary or as secondary members, we are responsible for getting any parental consent the law requires.
10. Changes to this policy
We may update this policy. The date at the top shows when it last changed, and we will tell members about material changes through the site.
